Job Description

Our Commercial Assistant provides essential administrative, operational, and analytical support to our Company’s commercial, sales, marketing and procurement teams. The Key responsibilities include answering the telephone, processing orders, managing internal and external customer/supplier correspondence, data entry, monitoring contracts, preparing reports, and assisting with invoicing and pricing analysis to drive revenue.

Key Responsibilities:

  • Administration & Sales Support: Answering telephone, managing reception area, handling correspondence, scheduling meetings, trainings, managing customer records, preparing offers, organizing events, corporate visits and assisting with sales reports to help achieve targets.
  • Financial & Procurement Support: Vendor invoicing, monitoring project costs, tracking inventory, and maintaining contractual registers.
  • Data Management & Analysis: Maintaining accurate records, analyzing data for commercial insights and reports, and assisting with sales reports and forecasts.
  • Customer & Supplier Liaison: Serving as a point of contact for enquiries, negotiating with suppliers for better value, and processing supplier queries.
  • Commercial Support: Requesting and/or Taking store pictures, videos of store promotions and events, sending reports to brands and invoicing vendors once event is completed.
  • Documentation: Preparing and organizing documents, reports, and presentations.
  • Market Support: Gathering data and information about the market trends and competitors. Create social media posts and videos.
  • Front Desk Management:Greet visitors, maintain a tidy reception area, and ensure security by monitoring visitor logs.
  • Communication:Answer, screen, and forward incoming phone calls while providing basic information via phone or email.

Required Skills and Qualifications:

  • Education: High School diploma; Certificate in Administration or bachelor’s degree in business administration is preferred.
  • Technical Skills: Proficiency in Microsoft Office (specifically Excel for data management) and experience with CRM software.
  • Soft Skills: Strong organizational abilities, excellent communication (written and verbal), problem-solving skills, and attention to detail.
  • Experience: Previous experience in customer service, sales administration, or similar office support role is preferred.
  • Social Media: Savy social media skills (whatsapp, facebook, twitter, tik tok etc)
