EXECUTIVE ADMINISTRATIVE ASSISTANT

ARC Group, a Forbes-ranked top 20 recruiting and executive search firm, has an immediate opportunity for An Executive Administrative Assistant in Nassau, Bahamas, for our client, a fourth-generation family company, and leader in paper and paperboard recycling that transforms renewable resources into sustainable, high-quality essentials for everyday life. The company has production facilities across Canada and the U.S., along with a portfolio of 42 green energy power plants and are a North American.

POSITION OVERVIEW
The Executive Administrative Assistant will support the Company’s Chairman of the Board of Director/CEO with his administrative needs while coordinating activities and documents with his Executive Administrative team in Montreal, Quebec, Canada, when he is in Nassau, Bahamas.

This is a seasonal, contract position, for approximately 7 months, working 3 hours per day, for 6-7 days a week, including Saturday and Sunday mornings. Pay: $500/week plus accommodations

Ideally, candidates from Nassau, Bahamas are highly preferred, but candidates from other Bahamian islands or Miami, FL who are able to legally obtain and maintain the required Bahamian work authorization are welcomed to apply (immigration processing will be handled by client). Accommodations & transportation costs will be covered.

RESPONSIBILITIES & ACCOUNTABILITITIES
• Prepares emails and letters based on discussions and/or dictation
• Manages requests according to priorities and ensures timely follow-up
• Prepares key documents and other material for transportation
• Efficiently and diligently maintains a filing and organization system, with special care of critical and confidential information
• Coordinates requests and follow-up with the Executive Assistants in Montreal ensuring a seamless operation for CEO and any other parties

SKILLS AND ABILITIES
• High degree of discretion and ability to safeguard sensitive and confidential information
• Strong organizational and priority management skills; possesses a level-headed approach to managing multiple files and competing deadlines
• Ability to work independently and proactively
• Delivers quality materials on-time with a positive can-do attitude
• Approachable, respectful, resourceful, resilient, reliable, organized, effective listener, and strong attention to detail
• Demonstration of key values – loyalty, integrity, focus, and accountability
• Able to interact with executives in a professional and conservative manner
• Technologically savvy with knowledge of Microsoft Office software
• Clear and effective communicator, oral and written

QUALIFICATIONS
• Minimum of 5 years’ experience in a Executive Admin role supporting C-Suite Executives.
• Successful experience working with executives and coordinating with team members

EDUCATION:
• College diploma (DEC) or bachelor’s degree in a relevant field

IMMIGRATION (if applicable)
• Must be a Bahamian Citizen, American Citizen, or landed immigrant with the ability to travel to and from the Bahamas
