Legal Administrator – Glinton Sweeting O’Brien, Counsel & Attorneys-at-Law

Job Description

Please apply only if you have a minimum of 5 years experience in a law firm or financial institution.

Duties and Responsibilities include, but are not limited to:

  • Communicate directly with clients on behalf of the firm:
    • Maintain client trust keeping client / attorney information confidential
    • Ensure direct, timely and clear internal and external communications
  • Liaise with government, commercial and private entities:
    • Central Bank of the Bahamas, Securities Commission, Insurance Commission, Investment Board, Business License Dept, Registrar General, other government entities including out of office visits and follow-ups as needed
    • Liaise with financial institutions and other service providers
  • Banking and Billings:
    • Prepare cheque requisitions and wires transfers
    • Coordinate client billings with attorneys for dispatch by accounts department
  • Administrative / Clerical:
    • Prepare legal documents and correspondence relative to corporate, securities, funds and other matters
    • Schedule conference rooms and couriers, assist with client meetings and travel; receive and handle general mail
    • Maintain effective electronic filing systems, including document retention and scanning
    • Remain abreast of professional knowledge and technology (supported by GSO):
    • Proficiency in Worldox and PC Law as well as all Microsoft Office programs
    • Assist in preparation of presentations including generation of PowerPoint slides
      • High School diploma; higher education and/or skills certificates preferred. Excellent oral and written communication skills. Aptitude for organization and high level of attention to detail. Familiarity and proficiency with Microsoft Office programs. Ability to take the initiative, multi-task in appropriate circumstances. Able to handle pressure including time-sensitive completion of projects. Discretion and congeniality are mandatory.
      • Hours of Work: Standard Minimum 40 hours; 9am to 5pm
      • Down town parking is provided, group medical cover, staff pension plan, minimum two weeks vacation
